Working with several suppliers can get very complex given the geographical diversity, fluctuating markets and business conditions, and political, economic, climate, and disaster-related risks. The Supplier Management product in the GEP QUANTUM suite helps reduce the complexity by providing you useful, actionable insights into supplier performance that yield better outcomes and drive real savings.

In this release, 11 features/enhancements have been added to Supplier Management.

Ticket Management – Ability to Assign User Groups for Milestone and Activity

LEOSUPTICK-1307 | Configurable: No

With this release, Milestones and Activities can be assigned to user groups, allowing any member to take action and track progress.

  • The fields Status Description and Assignee Comments are editable in the Achieved status.

  • The fields Due Date, Status, Description, and Assignee Comments are editable in Assigned and In Progress statuses.

  • No field is editable in Closed status.

  • If any milestone/activity is achieved, then the task is deleted for all user groups.

Scorecard – Ability to View KPI Overall Feedback

With this release, evaluators can add KPI-specific feedback that is visible to the Scorecard Creator and Admin post response submission. Additionally, they can also add their own feedback if the activity is enabled, and share it with Suppliers, who can then add comments. Both Buyers and Suppliers are notified when feedback is shared.

Scorecard – Ability to View Origin Type and Origin Document ID

With this release, as a Scorecard Evaluator, you can view the Origin Type and Origin Document ID for the Scorecard, whether it is generated from a Contract or a Ticket.

Scorecard – Ability to Allow Collaborative Evaluation

PLSCRD-3570 | Configurable: Yes

With this release, Scorecard Creators and Admins can enable collaborative evaluations for Buyer Evaluators. They can designate multiple Buyer Evaluators to add responses simultaneously. The Creator or Admin can also select a primary Buyer to capture the final scores on score summary and determine which collaborators are authorized to submit. All collaborators can share a common task, allowing them to save responses at the same time. Users who are allowed to submit can only submit responses.

Automated Supplier Offboarding

With this release, the application now automatically creates a Project Request to initiate Supplier Offboarding when there's a lack of recurring spend for a specific period and the Supplier has a GEP Registered status.

Configuration Details:

  • Setting Name: Supplier Offboarding - Define Group ID which would be passed for Projects Auto-Creation.

  • Description: Mention the Group ID which can be defaulted in the Team Member section of the Projects document as part of Supplier Offboarding.

  • Possible Value: Numeric

  • Default value: 0

 

Configuration Details:

  • Setting Name: Supplier Offboarding - Enable Scheduled Action of Auto-Supplier Offboarding & Project Creation

  • Description: Enable this feature, if the auto-offboarding functionality needs to be enabled that can lead to auto-project document creation.

  • Possible Value: True/False

  • Default value: False

 

Configuration Details:

  • Setting Name: Supplier Offboarding - Define Partner Status Code for Checking if the Auto-Offboarding Process is not eligible.

  • Description: Mention the status code, which can be checked, prior to auto-offboarding trigger. If the status code, matches with the value on the profile, the offboarding process will not be initiated.

  • Possible Value: Numeric

  • Default value: 0

 

Introducing IsUnique and IsEditability Columns to Supplier Source Type Global Code

With this release, two new columns, IsUnique and IsEditability are introduced in the Source Type Global Code.

Each source type can now be configured as either unique or editable, controlling how users interact with the information.

  • isUnique – To prevent duplicates, the application ensures that only one row of a specific source type can be added to the Source Information section.

  • isEditable – The application checks whether a source information type can be edited or changed once added.

Triggering Form Notification Based on Contact Roles added in Form Master

With this release, the Invite Supplier Contact Roles field on the Form Master page extracts its values from the Contact_Roles Global code.

If some roles are selected in the Form Master page while setting up the form, then:

  • When a form is sent, any user in the Supplier Profile's Contact Information section with the same role is notified.

  • You also receive all subsequent reminder notifications.

  • If a form is withdrawn, users with the corresponding role are notified of the change.

     

    Global Code Name: Contact_Roles

Configuration Details:

  • Setting Name: Invite and Remind Supplier Contact Roles both Primary and Secondary to Form Notifications

  • Description: Based on the Supplier Contact Roles selected in the Form Master page, the relevant Supplier Contacts would get Form specific Notifications pertaining to Invitation & Reminder. If the configuration is false, the existing notifications to Primary Contacts remain same.

  • Possible Value: True/False

  • Default value: False (True for Caterpillar Direct - consider the selections made in the Form Master page, to send notifications to relevant Supplier contacts.)

Restricting Self-Editing for Registered Contacts

With this release, contact edit locks are implemented on the Supplier Profile for registered users, and UI issues are corrected.

  • As a Registered Primary Contact:

    • You cannot edit your own contact row once registered

    • You can edit other contact rows irrespective of the contact status

  • As a Registered Secondary Contact:

    • You cannot edit your own contact row once registered

    • You cannot edit other contact rows, whose Contact status is Registered

       

Configuration Details:

  • Setting Name: Restrict Edit to Own Contact Rows

  • Description: Enable this configuration to govern restrictions on editability for own contact rows

  • Possible Value: True/False

  • Default value: False (True for Caterpillar Direct)

     

Introducing Goods Receipt and Requisition Tabs

With this release, two new Goods Receipt and Requisition tabs are introduced in the Associated Documents section of the Supplier Profile.

  • For Good Receipt, the following columns are added:

  • Goods Receipt Name (the cell is hyperlinked which redirects to the document)

  • Goods Receipt Number

  • Goods Receipt Status

  • Created By

  • Created On

     

  • For Requisition, the following columns are added:

  • Requisition Name (the cell is hyperlinked which redirects to the document)

  • Requisition Number

  • Requisition Status

  • Purchase Type

  • Created By

  • Created On

Enhancements to Diversity and Certificate Section

Prior to this release, when a language other than English is selected, the options within the Diversity and Certificate section, the Category, Type, and Sub-type columns did not translate effectively.

With this release, the information is translated correctly for a domain where translation templates are enabled for each column.

Enhancements to Supplier Onboarding Section

With this release, creating a new Relationship Type record in the Supplier Onboarding section supports the following statuses:

  • Not Initiated

  • In Progress

  • Approved

  • Rejected

  • Blocked

When updating an existing row in the Supplier Onboarding section, the status changes to one of the following statuses, based on its current status:

  • Not Initiated to In Progress/Approved/Blocked

  • Approved/Rejected to Blocked

The following actions are restricted:

  • Adding a new row while an existing row is In Progress.

  • Deleting an existing Relationship Type record.

  • Changing the Overall status from In-Progress to another status.
